Your Privacy: Information I collect about you and how I use it.
This policy tells you what to expect when I collect your personal information. I (Jamie Iles) am the data controller of the personal information I collect.
The Data Protection Act 1998 regulates the use of personal information I hold. This means I must comply with eight data protection principals which say that personal data needs to be:
· Processed fairly and lawfully
· Processed only for specified and lawful purposes
· Adequate, relevant and not excessive
· Accurate and, where necessary, kept up to date
· Processed in accordance with an individual’s rights under the Act
· Kept secure
· Not transferred to non-European Economic Area countries without adequate protection

Information I may collect
The type of information I may collect is varied and may include:
· Your name, age and address
· Who you see
· Your email addresses
· Telephone number and contact details
In addition, I may collect information about you and your business. Some information is defined in the Data Prevention Act 1998 as sensitive personal data.
This is information about you which relates to:
· Your religious beliefs or other beliefs of a similar nature
· Any physical or mental health conditions
· Your sexual life
Personal information pertaining to the reasons why you are coming in to therapy.
Where I collect personal data, I will not collect or use it unless it is lawful to do so, this may mean we need your informed consent to use or share it. However, in some cases it will be lawful for me to do so, for example where it is necessary as part of my supervision process (personal identification will be removed to provide anonymity) or with your GP should I deem that you may harm yourself or another person.

This policy applies to information I collect set out below.

How long I keep information
I keep personal information for as long as necessary in line with my retention and disposal policy, which is currently a five-year period. This is to meet my legal and operational requirements.
How I keep personal information secure
I am under a general duty to keep personal data and information secure to ensure I meet the data protection obligations as well as how I maintain the confidentiality, accessibility and information I do hold.
How you find out about the information
I hold about you
The Data Protection Act 1998 gives you a right of access to the personal data I hold about you. These are called subject access requests. In some cases, I am not required to provide you with I hold about you. Where this is the case I will let you know. You can make a request in writing addressed to

You will also have to provide me with an email or postal address, so I can send you the information. Please mark the envelope as confidential.
How I provide the information
I can send you a hard copy of the information or a digital copy to your preferred email address. If you would prefer to make other arrangements, please contact me (Jamie Iles)
Can I see all the information held about me?
You may not be entitled to see all the information held about you if an exemption under the Data Regulation Act 1998 applies. If for example the information includes information about another person. If such an exemption applies I will explain what it is and if I have removed anything from the copy I send you.

I keep this policy under regular review.

Some of my website content includes buttons that allow visitors to share content easily with their online networks – using Twitter, LinkedIn, Facebook etc. When visiting these areas, these third-parties sites may set cookies on a visitor’s browser. In appropriate cases personal information may be shared with regulators, the legal ombudsman, enforcement or government agencies, other regulators or others with a legitimate interest who may keep a record of that information. I only share information where it is lawful for me to do so, such as where it is necessary as part of my, or a third party’s, statutory or public function or because the law requires me to.
I mat also share information with selected third parties which provide relevant services to me, such as outsourced IT services or legal support but only where this helps me to fulfil my legal duties or to ensure the proper administration of the site.
Complaints about me
If I receive a complaint I will create a complaint file. Usually the file will contain the identity of the person complaining and any other people involved in the complaint. I would use personal information to deal with the complaint. I may also use the information to assess and improve my level of service.
In appropriate cases, personal information may be disclosed to other regulators, others with another legitimate interest who may keep a record of that information. I only share information where it is legal for me to do so, such as where it is necessary to do so as part of my, or a third party’s, statutory or public function or because the law requires or permits me to do so.
Some data is collected when people sign up to newsletters, act as an organisation’s contact, respond to my consultations or register for training with myself or other communications. I use this data to deliver the service I provide or to improve the services that I offer. Those responding to consultations can opt to have their data kept confidential. I do not use your data for marketing purposes. You are always entitled to request the removal of your data from records held. I am required by the law society to retain certain data for specified periods of time.
